A complaint thread on Reddit can hit 200 upvotes before your support inbox sees a ticket. A Linkedin post from a frustrated customer can reach their network before your status page updates. A Hacker News comment that calls out an outage, a pricing change, or a privacy slip often sets the narrative for the next 24 hours.
The job here is not "build a share-of-voice dashboard" or "replace a media-intelligence suite." It is narrower: when someone names your brand, product, or a known failure mode on the social networks where B2B and tech audiences actually talk, you get an alert in seconds, you triage sentiment, and you escalate to Slack (or a webhook) before the thread becomes the story.
This post is the operational playbook. For the wider map of lead-gen, competitor, and campaign use cases, see Social listening strategies, use cases, and examples. That article has a short crisis subsection. This one is the step-by-step setup.
In practice, reputation monitoring on social breaks into three layers:
KWatch.io is keyword social listening with per-second refresh across Reddit, Hacker News, X, Linkedin, Facebook, and Youtube. Email on every plan. Slack, API webhooks, and MCP from Business. AI sentiment (positive / neutral / negative toward the keyword) from Essential. Conversation tracking on Reddit and Hacker News only.
Honest limits up front, because crisis playbooks that invent coverage fail under pressure:
If your crisis surface is mostly news wire, blogs, and Instagram, you need a different category of tool. If it lives on Reddit, HN, Linkedin, X, Facebook public groups, and Youtube listings, this playbook applies.
Do not start with one alert for your exact legal name. Build three buckets and create separate alerts so noise does not bury the signal.
If your brand string is short or ambiguous (for example "Hive", "Orbit", "Notion"-style collisions), use whole words and include/exclude filters early. On Reddit, exclude subreddits that are pure noise for your name. On X, exclude known spam accounts once they show up.
Create alerts that require your brand and a crisis word in the same hit (or run brand alerts with saved-result review plus AI sentiment). Useful companions:
outage, down, is down, statusbreach, leaked, hacked, privacyrefund, scam, ripoff, lawsuitdo not buy, don't buy, avoid, cancelled, canceledprice increase, pricing, bait and switchExact phrase alerts like "Acme is down" or "Acme outage" catch high-intent complaints with less noise than a bare brand keyword. Keep the bare brand alert too; crisis language is not always in the first post.
Sometimes people describe your failure without naming you: "social listening alerts delayed", "keyword monitor not firing", or a category phrase plus "broken". These are noisier. Use them during known incidents, or scope them with subreddit include lists (for example only r/SaaS, r/startups, your category sub).
Free plan start: Reddit 2 + Hacker News 2 keyword alerts. Put your highest-intent brand string on Reddit and the same on HN, or split brand vs "Brand outage" if you only get four slots. Upgrade when you need Linkedin / X / Facebook / Youtube or more than two phrases per source.
A reputation Slack channel that pings on every casual brand mention gets muted in a week. Filters that matter for this job (from our docs):
Review the first 20 to 50 hits per alert. Tighten excludes before you wire Slack. Email-only for a day on a new brand alert is usually wiser than dumping raw volume into #brand-alerts.
From Essential ($19/mo) up, KWatch attaches AI sentiment: positive, neutral, or negative toward the keyword. For reputation work that means:
Sentiment is a sort key, not a lawyer. Sarcasm, quote-tweets, and "Acme is down... wait no it's fine" threads still need a human. Treat the tag as a filter, then read the post before you escalate.
Delivery by plan:
| Need | Plan |
|---|---|
| Email alerts | Free and up |
| AI sentiment, Linkedin / X / Facebook / Youtube alerts, filtering, saved results | Essential $19/mo |
| Slack, API webhooks, MCP, bulk CSV, teams | Business $79/mo |
| Higher platform caps + advanced support | Enterprise $199/mo |
Plans are prorated. You can stop anytime.
Suggested path for a reputation desk:
#brand-reputation or #comms-alerts. Keep low-severity brand mentions on email so Slack stays loud only when it should.Refresh is per second on the sources in your plan. Expect an alert within a couple of seconds, up to about a minute if things are congested. That is usually enough to reply in-thread before the screenshot tour begins.
Keyword alerts miss a common crisis pattern: the original post names you, then 80 replies argue about you without repeating the brand string. On Reddit and Hacker News, add that thread to conversation tracking so every new comment alerts you even when your keyword is absent.
When to track:
When not to track: every casual mention forever. Caps matter (Essential: Reddit 2 + HN 2 tracked conversations; Business: 10 + 10; Enterprise: 50 + 50). Track the threads that can set the narrative for the day, then drop them when they cool.
Full mechanics: Conversation tracking: getting notified about new comments on Reddit and Hacker News.
#brand-reputation via Slack. Keep a webhook ready for your incident tool.Keyword social alerts catch what people say. They do not catch what you publish. If you need to know the moment your status page, status.io / Atlassian Statuspage public page, or ToS / privacy URL changes during an incident, that is website change monitoring ( Page Deltas ), not KWatch. Many teams run both for the same incident: KWatch for social narrative, Page Deltas for the pages customers refresh.
It is the checklist we wish every customer had before their first public meltdown: keywords, filters, sentiment triage, Slack escalation, and Reddit / HN thread tracking.
Partially. Free is enough to prove Reddit and HN delivery for two phrases each. You will not get Linkedin, X, Facebook, Youtube, AI sentiment, Slack, or webhooks until you pay. Most teams use Free to validate keywords, then Essential for multi-network brand coverage, then Business when ops wants Slack.
No. Linkedin coverage is posts only. Same for Facebook comments. If the damaging content is only in comments, you will not see it from keyword alerts today.
Refresh is per second. Alerts usually arrive in seconds, up to about a minute when congested. That is still faster than a 6-hour or 12-hour digest cycle on many brand suites.
No. Put brand + incident language (and maybe negative-sentiment brand hits if you filter downstream) into Slack. Leave broad brand listening on email or you will mute the channel.
No, not today. Plan a separate workflow for those networks if they are your primary risk surface.
Start with Free (Reddit 2 + Hacker News 2), confirm a real hit, then add Essential or Business before your next launch or billed incident window: kwatch.io.
